Allergan is currently looking for a Senior Executive Assistant to provide confidential secretarial and administrative support to key leaders of our international business based in Marlow. Duties will include involvement in all business and organisation activities, ensuring efficient and timely support on a day to day basis for all telephone, travel planning, business trips, diary management, meeting co-ordination, presentation support and any specifically assigned ad hoc projects and tasks as requested from time to time.

Key Responsibilities

  • Support business with planning,and organisation of customer events and meetings as well as Department andManagement meetings.

  • Build and maintainrelationships both externally and internally within the region to ensureeffective communication and efficient implementation of departmental activities

  • Provide assistance and back upto other business areas in peak periods or absence.

  • Ensure a good working knowledgeof business products, customers and members of the team to be able to supportday to day operations tasks efficiently as directed by SVP/VP’s with minimumsupervision.

  • Support as needed preparationof high quality documents including presentations and meeting action points.

  • Handles day to day routinedistribution of mail, basic tasks, and other routine operations. Takes responsibility for distribution ofincoming calls, mail and other tasks, including customer queries, to respectivemembers of the team for follow up as appropriate. Handles call transfers and messagesefficiently

  • Manages all aspects of traveland transportation requirements in accordance with company policy and systems,including flights, hotels, ground transport (hire cars, car parking, taxis asrequired) and control of tickets prior to departure.

  • Maintain diary schedules andcalendar (Outlook)

  • Accurate preparation andsubmission of monthly expenses reports.

  • Provide support with anyspecifically assigned ad hoc projects and tasks as requested

  • To answer and screen queriesand calls

  • Essential use of intiative withregard to queries and incoming calls.


  • Extensive Senior PA experiencein similar position with fast moving international company in multicountry/multi cultural complex organisation, likely to include Board levelsupport experience.

  • Excellent organizational,co-ordination and communication skills

  • Both a team player and theability to work on own initiative

  • Reliability, accuracy andprecision

  • Dynamism and ease working underpressure in rapidly changing environment

  • Ability to work to tightdeadlines

  • Interpersonal skills incommunicating and dealing with all levels of organisation, especially seniorexecutive level customers in multi cultural environment

  • High work ethic standards anddiscretion

  • Ability to acceptresponsibility and be pro-active within defined limits

  • Strong systems aptitude;Excellent PC skills in MS Office environment, especially PowerPoint and Excel
