Position Overview

Under minimal direction the Senior Executive Assistant will provide highly complex and specialized administrative support to thefor senior leader of Drug Development Operations.

Main Areas of Responsibilities:

Responsible for managing the daily administrative activities including:

  • Performs advanced, diversified and confidential administrative duties requiring broad and comprehensive experience, skill and knowledge of organization policies and procedures

  • Functions with high degree of autonomy, manages projects, interacts effectively with all levels both inside and outside the company, sets priorities with little or no direction, manages highly confidential/sensitive materials and issues

  • Schedules and maintains calendar of appointments, meetings and travel arrangements and ensures deadlines are met

  • Act as first point of contact, screen correspondence, visitors and incoming calls - responds independently when appropriate

  • Arranges appointments and schedules various meeting types-this may include travel and lodging for interviews, departmental and cross-functional team meetings, conferences and events

  • Assist in preparing correspondence, memos, agendas and reports, copying and filing, processing documentation of expenses and orders supplies

  • Processes department invoices and verifies charges to correct accounts. Follows-up with Accounts Payable to assure payments are made in a timely manner; acts as liaison between employees/vendors and Accounts Payable to resolve problems

  • Analyzes, and summarizes information for reports and correspondence

  • May perform special projects across multiple teams

  • Exercises autonomy in troubleshooting issues as they arise

Requirements

  • A minimum of 6 years relevant experience

  • Must be proficient in Microsoft Word, Excel and PowerPoint

  • Must have strong interpersonal skills, excellent communication and decision-making skills

  • Excellent judgment in maintaining a very high level of discretion and confidentiality

Education

  • High School diploma or equivalent required. Bachelor’s Degree preferred.
